Are you ready to play a vital role in the growth of Mortgage Associates Ontario, a rapidly expanding Mortgage brokerage in Toronto? We are seeking an enthusiastic and skilled Administrative Assistant to become an integral part of our dynamic team. In this dual-purpose role, you will support both Mortgage Associates Ontario and a group of affiliated companies. Your contributions will be crucial in ensuring efficient administrative operations and accurate financial management.

Role Overview:

As the Administrative Assistant, you will be at the heart of our operations, providing essential support to our office and President's office. Your responsibilities will encompass a wide range of administrative, bookkeeping, and coordination tasks. Your ability to maintain professionalism, confidentiality, and precision in your work will be essential as you interact with various stakeholders.

 

Responsibilities

Your diverse range of responsibilities will include:

  • Offering vital support to our agents and affiliated companies.
  • Acting as the primary point of contact for office vendors, managing tasks such as maintenance coordination, water delivery, and visitor interactions.
  • Handling administrative duties, including package retrieval, mail sorting, filing, office supplies management, and greeting visitors.
  • Managing payroll for agents and ensuring accuracy in financial transactions.
  • Organizing and categorizing client documents for easy access and retrieval.
  • Participating in the recruitment and onboarding of new agents, including creating job postings on platforms like Indeed.
  • Efficiently managing schedules, preventing conflicts, and ensuring optimal time utilization.
  • Planning and coordinating meetings and events to facilitate seamless operations.
  • Creating compelling marketing materials using tools like Canva to support company initiatives.
  • Assisting in the preparation of presentations and reports for various stakeholders.
  • Taking comprehensive meeting notes and ensuring their systematic organization.
  • Identifying opportunities for process improvements and innovative initiatives.
  • Running essential errands on behalf of the President.

 

Qualifications

We are looking for candidates who meet the following criteria:

  • Proficiency in working independently with minimal supervision.
  • Exceptional communication skills, characterized by clarity and conciseness.
  • Tech-savviness and the ability to quickly learn and adapt to new tools and technologies.
  • Availability to work from Monday to Friday to ensure consistent operational support.
  • Strong organizational abilities, enabling effective prioritization and multitasking.
  • Adept problem-solving skills, capable of autonomously resolving challenges in a timely manner.
  • Forward-thinking and proactive mindset, demonstrated by anticipating needs and proactively planning.
  • Possession of a reliable vehicle and flexibility for local travel.
